We want every event to feel exciting, organised and stress free. These terms help you understand how bookings work, what we need from you, and what you can expect from us before, during and after your event.
We explain what is included before you confirm the booking.
Your date is only secured once the booking is confirmed.
We plan arrival, setup, and access details.
We set clear responsibilities so your event runs smoothly.
These Terms & Conditions apply to the use of The Deltatones website and to enquiries or bookings made for live music, DJ, disco, acoustic, piano, wedding, corporate, private party or function entertainment services. By using this website, submitting an enquiry or confirming a booking, you agree to these terms. Any final booking agreement, written quote, invoice or contract may include extra details specific to your event. If there is a conflict between these website terms and a signed booking agreement, the signed booking agreement will take priority.
You can contact The Deltatones through the website enquiry form, by email, by phone or through any approved contact method shown on the website. When you enquire, we may ask for your event date, venue, location, timings, type of event, package preference and any special requirements. Quotes are based on the information supplied at the time of enquiry. Prices may vary depending on date, location, travel, setup time, performance length, equipment needs, daytime sets, DJ or disco requirements, and any additional services requested. A quote does not reserve your date unless we clearly confirm this in writing.
Note: We only ask for information that helps us respond to your enquiry and understand your event requirements.
A booking is only confirmed when The Deltatones have accepted the booking in writing and any required deposit or booking fee has been received. Until confirmation is complete, the date may remain available to other clients. The final booking details should be checked carefully by the client. This includes event date, venue, arrival time, setup time, performance schedule, package choice, payment terms and contact details. It is the client’s responsibility to tell us as soon as possible if any details are incorrect or change before the event.
A deposit or booking fee may be required to secure your event date. The amount, due date and payment method will be confirmed in your quote, invoice or booking agreement. Deposits and booking fees are normally used to reserve the date and may be non-refundable unless otherwise agreed in writing. The remaining balance must be paid by the due date stated in the booking agreement or invoice. If payment is late, The Deltatones may pause preparation, request immediate payment, or treat the booking as at risk until the balance is received.
If you need to cancel or postpone your booking, you must contact us in writing as soon as possible. Cancellation or postponement terms may depend on how close the change is to the event date, whether the date can be rebooked, and what costs have already been committed. Deposits, booking fees and some paid amounts may be non-refundable. Where possible, The Deltatones will try to work with you to move the booking to a new suitable date, subject to availability and any price changes. Any change must be confirmed in writing.
Note: Please contact us as soon as possible if your plans change. We will always try to help, but all changes must be agreed in writing.
The client is responsible for providing accurate event information and making sure the venue is suitable for the agreed entertainment. This may include correct venue address, access instructions, parking details, performance timings, power availability, performance area, meal arrangements if agreed, dressing or waiting area if required, and a named contact on the day. The client must also make sure the venue permits live music, amplified sound, DJ or disco services, and any agreed lighting or performance equipment. Any restrictions should be shared before the booking is confirmed.
The Deltatones require safe and reasonable access to the venue for loading, unloading, setup and pack down. The performance area should be clean, dry, safe, level and protected from weather. Suitable power should be available close to the performance area. If the event is outdoors, covered performance space and safe power supply must be provided. Setup and soundcheck times should be agreed in advance. Delays caused by access issues, late room turnaround, venue restrictions, parking problems or missing event information may affect the performance schedule.
The Deltatones use professional equipment for live performance, sound, lighting and DJ or disco services where agreed. Equipment must not be moved, touched or used by guests, venue staff or third parties without permission. The client is responsible for helping maintain a safe environment around the performance area, cables, speakers, lighting and instruments. We reserve the right to stop or pause performance if there is unsafe behaviour, damage risk, abuse, aggressive conduct, unsafe power, severe weather, or any situation that could put people or equipment at risk.
Any requested change to the booking should be made in writing. This may include changes to timings, venue, location, package, performance length, first dance requirements, acoustic or piano set, DJ or disco service, extra equipment, or running order. We will try to accommodate reasonable changes, but changes are subject to availability, technical suitability and any additional cost. Major changes may require a revised quote or updated booking agreement. The Deltatones are not responsible for issues caused by late, incomplete or unapproved changes.
